Role Summary:
Shadiat Alasooke is seeking a meticulous and highly organized Operations Supervisor to oversee the critical aspects of quality assurance and delivery verification for their bespoke products. This pivotal role will ensure that every item meets their stringent quality standards and is delivered flawlessly to their discerning clientele worldwide.
The Operations Supervisor will be responsible for meticulously verifying colour accuracy, fabric size, timely dispatch, correct delivery location, proof of receipt, delivery confirmation, sign-off procedures, and other vital factors throughout the fulfillment process.
Key Responsibilities
Quality Assurance Oversight: Implement and enforce rigorous quality control procedures to verify that finished bespoke products precisely match client specifications regarding colour, fabric size, dimensions, and other relevant attributes.
Pre-Delivery Verification: Conduct thorough inspections of products prior to shipment, meticulously comparing them against order details and quality checklists.
Delivery Coordination: Collaborate closely with production (internal and external), logistics partners, and customer service teams to ensure timely and accurate delivery of bespoke items to customers globally.
Shipment Documentation Review: Verify the accuracy and completeness of all shipping documentation, including invoices, packing lists, customs declarations, and waybills.
Delivery Location Confirmation: Proactively confirm delivery addresses with clients and logistics providers to prevent errors and ensure smooth delivery.
Receipt of Delivery Monitoring: Track shipments and actively monitor for confirmation of delivery at the intended destination.
Delivery Confirmation Processes: Implement and manage systems for obtaining formal delivery confirmations from clients or their authorized representatives.
Sign-Off Verification: Ensure that appropriate sign-off procedures are followed and documented upon successful delivery, adhering to Shadiat Alasooke’s standards.
Issue Resolution: Investigate and resolve any discrepancies or issues related to product quality or delivery, escalating complex matters as necessary.
Record Keeping: Maintain accurate and detailed records of all quality checks, delivery confirmations, and any related communication.
Process Improvement: Identify areas for improvement in quality assurance and delivery processes and contribute to the development and implementation of more efficient and effective systems.
Reporting: Generate regular reports on key performance indicators related to quality and delivery, highlighting successes and areas needing attention.
Stakeholder Communication: Maintain clear and proactive communication with internal teams (production, customer service) and external partners (logistics providers, clients) regarding shipment status and any potential issues.
Compliance: Ensure adherence to all relevant shipping regulations and customs requirements for international deliveries.
Required Skills & Qualifications:
Bachelor’s degree or HND.
Minimum of 5 years experience in operations, logistics, quality control, or supply chain management (preferably in textiles, fashion, or luxury goods).
Proven experience in an operations, quality assurance, or logistics role, preferably within a luxury goods or bespoke product environment.
Strong ability to inspect fabrics (colour, size, texture) and ensure flawless deliveries.
Ability to manage multiple shipments, deadlines, and customer requirements.
Excellent verbal/written skills for coordinating with teams and customers globally.
Proactive in resolving delivery delays, quality issues, or customer complaints.
Technical Proficiency: Familiarity with inventory management systems, tracking software (e.g. Zoho ERP), and MS Office.
Language Skills: Proficiency in English (additional languages a plus for global clientele).
