Description: Job Responsibilities:
Manage complex calendars for three regional business leaders across multiple time zones, including EMEA, USA, and ASIA, accounting for approximately 50% of the role
Coordinate and book international travel arrangements for supported leaders, accounting for approximately 25% of the role
Process and manage expense reports accurately and in a timely manner, accounting for approximately 25% of the role
Serve as the primary point of contact and information conduit for the department and supported leaders
Coordinate meetings, events, and cross-functional communications on behalf of leadership
Manage procurement of goods and services including office supplies, computer equipment, and vendor relationships as needed
Support financial operations, personnel operations, and facility operations for the department
Build and maintain high-quality business relationships with executives, business partners, and other administrative staff
Complete special projects as assigned by leadership
Requirements:
2 to 4 years of overall experience in an administrative or executive support role is required
Demonstrated experience supporting multiple leaders simultaneously is strongly preferred
Experience supporting international or globally distributed teams is preferred
Prior experience at a large technology company is a plus
Experience providing support at the CVP or executive level is a plus
Minimum of 12 months of continuous high-level administrative support experience is required
Strong verbal and written communication skills with the ability to interact professionally at all levels of the organization
Exceptional ability to manage multiple priorities simultaneously while maintaining accuracy and attention to detail
Strong organizational skills with the ability to keep sensitive information confidential
Demonstrated ability to work independently, manage time effectively, and operate proactively without close supervision
Experience with high-level, complex calendar management across multiple leaders and time zones
Experience coordinating and managing international travel logistics
Experience with travel booking and expense reporting processes and tools
Proficiency with Microsoft productivity tools, with internal Microsoft tool knowledge considered a strong plus
Ability to build and sustain high-quality relationships with executives, business partners, and administrative colleagues
Proactive, accountable, and solutions-oriented approach to work
